How to write a funeral announcement for WhatsApp

In the first days after a death, your phone becomes the town crier: a few careful words on WhatsApp reach family in the next street and cousins three taxis away within the hour. Below are messages you can copy, fill in and send, so you needn't find the words yourself this week. Take what fits your family and leave the rest.

Why WhatsApp carries the news

For most South African families, WhatsApp is not the casual option — it is the main channel. It reaches people who don't check email, who are between jobs, who are far from home on the mines or in another province. A short written notice or a voice note moves through family groups, stokvel groups and church groups faster than any newspaper column, and it costs nothing. That reach is both a gift and a responsibility: once a message leaves your hands it will travel on its own, so it is worth getting the words right before you press send.

Template 1 — the first message to close family

Send this only after you have phoned or told the closest people in person — a spouse, children, parents and siblings should never learn of a death from a group chat. This first message goes to close family while the arrangements are still unknown:

'It is with deep sorrow that we share that our [mother / father / gogo], [Full name], died on [day, date], [peacefully at home / at [hospital name]]. We are still making arrangements and will send funeral details soon. Please keep our family in your prayers. — The [Surname] family'

Template 2 — the fuller notice with service details

Once the service is set, send a complete notice: everything someone needs to attend, in one message they can forward without losing the context.

'The [Surname] family invites relatives, friends and neighbours to the funeral of the late [Full name] ([born year] – [died year]). Service: [Saturday, 26 July] at [08:00], [Church name and address]. Burial: [Cemetery name] thereafter. The family receives mourners at [home address]. Night vigil (umlindelo) on [Friday] from [19:00]. Enquiries: [Name] — [phone]. Please share with those who knew him.'

  • The full name and dates, spelled as they will appear on the programme
  • One date, one start time, one venue with enough address to find it
  • Whether burial follows, and where
  • A contact name and number for questions — never send a notice without one
  • Where mourners are received, and the night vigil if there is one

Template 3 — the unveiling reminder

The tombstone unveiling usually comes months, often a full year, later, and by then everyone's diaries have filled. A warm, clear reminder brings people back:

'The [Surname] family invites you to the unveiling of the tombstone of our late [mother], [Full name]. [Saturday, date] at [time], [Cemetery name]. Refreshments afterwards at [home address]. Your presence at the funeral carried us through, and we would be honoured to have you with us again. Please RSVP to [Name] — [phone] by [date], for catering.'

Turn the words into a poster image

Typed messages get buried in a busy chat; images get saved and re-shared. That is why families make a poster — the photograph, full name, dates and service details as a single picture people can screenshot and forward. You already have one: the cover of the printed order of service. Forwarding etiquette

A funeral notice is public by design, but how it travels still matters. The aim is that everyone who cared for the person hears in a way that feels considered rather than accidental, and that no stranger's number is left fielding calls at midnight. Share the family's official notice, not your own paraphrase, and let these habits keep it dignified:

  • Wait for the family's official notice before forwarding to big or community groups
  • Keep the family name and contact number attached to whatever you share
  • Don't add a death notice to a church or work group until the family has said it is public
  • Don't crop or re-caption the poster; forward it whole
  • If you weren't close, a quiet share is kinder than being first

When details change

Details move. A hall gets double-booked, the mortuary releases the body a day late, rain turns a rural burial into a logistics problem. When something changes, don't reply 'correction' under the old message — that reply gets separated from the notice as it forwards, and the wrong version keeps circulating. Send a fresh, complete message instead:

  • Start with UPDATED and repeat every detail, not only the change
  • Make a new poster image if the old one is wrong; people share pictures, not your typed fix beneath them
  • Ask the relatives who run the big groups to delete or replace the old post
  • Send the correction to everyone who received the first version
